Case Study: From Brandbook to Operational Software
Introduction
In 2015, we participated in the foundation and brand creation of Heelum Data Recovery, a company focused on data recovery services. We use this case study to introduce core brandbook elements and then show how those elements are instantiated in practical applications such as corporate stationery and custom operational software.
What Is a Brandbook?
A brandbook (brand guidelines) defines the identity of a brand. It specifies foundational blocks such as logo and variations, color palette, typography, and supporting elements. It also sets usage rules for different contexts, ensuring visual and communicative consistency.
"Branding" is an organization’s ability to evoke a specific perception in its audience. By applying consistent elements, a brand can build recognition and trust with its target market.

Once identity fundamentals are defined, the natural next step is producing branded materials, one of the most common applications.
Applying identity to corporate materials clearly demonstrates what “branded” means. Clients, suppliers, and partners immediately recognize they are interacting with a consistent organization, which supports familiarity and trust.
Building Operational Software
Now we shift to an application that is less about pure visual expression and more about user experience for both staff and clients. Operational software may seem less obvious as a branding element, but its impact is equally meaningful. During this collaboration, we found that a custom management platform increased perceived validity, professionalism, and process discipline, all of which positively reinforced brand perception.
UI/UX Design for the Operational Platform
As with most software projects we work on, we started from an existing operational process. The company already had a workflow for managing clients, jobs, approvals, and billing. Our goal was to digitize and optimize that workflow with a tailored tool.
The platform was designed to manage the full data recovery service lifecycle: job creation, receipt generation, technical coordination, client approval, and final invoicing.
Job Creation and Data Capture
Jobs are composed of storage units (typically hard drives) containing the data to recover. Every field in this view was customized to the exact information required by the company workflow.
Client and Job Management
A key aspect of the software is clearly communicating entity status: clients and jobs. Each client detail view shows representatives (point of contact), contact information, and associated job history. Similarly, each job detail view shows core job information (storage type, registration date, representative), current status, and registered storage units.
Reports and Client Portal
After job registration, the software allows the technical team to produce detailed reports, documenting storage-unit condition, notifying administrative staff of next actions, attaching files (for example screenshots of recovered file structures), and notifying clients with pricing decisions for approval.
When the technical team finalizes a report, the client receives a notification to review it in a private area within the platform. From there, the client can review details, approve the quote, and pay online.
Conclusion
Thanks for following this walkthrough of Heelum Data Recovery’s brandbook and its implementation in operational software. Through this case study, we explored two domains that are not usually grouped together. Our collaboration showed how both areas can complement each other and reinforce the perception of professionalism and reliability.
